What is Collabio Spaces?

Collabio Spaces is a multi-functional software for working with documents. It is an all-in-one office suite tool for iOS and macOS that empowers you to get the most out of cloudless co-authoring in text documents and spreadsheets, organising files in spaces and on the iOS platform, the ability to scan and recognise texts and images with a camera. Also annotate and comment to PDFs, e-sign both text documents and PDFs, view vivid presentations.
How does it differ from other office suite apps?

Collabio Spaces' main highlight is a fully-featured peer-to-peer collaborative editing of texts and spreadsheets directly between user devices without the need of Internet. This is called 'ad-hoc collaboration' and this unique technology gives users the ability to locally share and simultaneously edit documents of different sizes with a team/colleagues.
Using your iPhone or iPad, you can find our ad-hoc technology a good alternative to cloud solutions. Collabio opens new horizons for teamwork — your phone alone will be enough to provide similar experiences as powerful cloud-based collaborative editors do. Ad-hoc collaboration works with almost any Wi-Fi network, including iPhone's hotspot.
What devices are supported?

Only iOS and macOS devices are supported at the moment. We are working on Collabio Spaces for other platforms, so follow us on social media to obtain updates and be the first to know of new releases.
How do I log in and sign up?

Once you purchase the subscription for our app from the App Store, you need to sign in with your Apple ID. The subscription is unified for all supported platforms.

How do I get started?

After you obtain your subscription for the Collabio Spaces app from the App Store, open the app. Next, either find a necessary document from your device or create a new document by tapping on the plus symbol between 'On device' and three dots in the top right corner.
Select what type of document you need to create:
- A folder
- A text document
- A spreadsheet
Also, you can import the documents you already have on your device or use our ready-made templates.
What are the technical requirements for my devices?

Collabio Spaces for iOS is designed for Apple devices operating on iOS 13 and higher.
Can I log into my account from another device?

To access your Collabio Spaces account from a new device, follow these instructions:
- Visit the App Store and go to the Today section from the bottom of the screen.
- Sign into the App Store with the Apple ID you used to purchase Collabio Spaces.
- Head to the 'Purchased' area.
- Select 'Not on this device'.
- From the list appeared, find Collabio Spaces and download it!
Are there any quick start guides in your app?

Yes, sure! We provide a user guide for almost every tool! Find them in the app - we placed our guides in the 'Home' folder!
Are there any built-in templates in Collabio Spaces?

Sure, so far we have added XX useful templates to our app and there will be more to come! We divide them into 4 folders: Office, Personal, Planning and Professional. The templates contain useful tips, choose the one you need, edit it and get a finished well-formatted document in several minutes!
What is ad-hoc?

This is a unique technology that gives users the ability to collaborate and simultaneously co-edit documents of different sizes with their team/colleagues without the need to connect to a server on the Internet.
The ad-hoc collaboration technology takes us to the next level of privacy. You will be sharing an access to the editing session, not the document itself. Once the session is over, the document will be safely saved exclusively on the owner's device.
As you can see, this feature can be extremely useful during business travels, when there is a poor connection to the web or if you want to privately co-edit documents with your colleagues within one office space. We bring the ability of safe and convenient collaboration closer to users.

Why is ad-hoc unique?

This cloudless collaborative technology doesn't require constant Internet connection, unlike all other office apps. This makes ad-hoc a brilliant solution for every office, from those who are always online to those who are lacking the web connection for various reasons. For example, teams conducting business trips, who have to deal with poor Internet connection or those personnel who are based in remote locations where communication is difficult.
All you need to collaborate is the Wi-Fi hotspot turned on, on every device of those involved.
How do I start collaboration on my documents?

Find an icon with a honeycomb symbol on the top right corner of the document once you've opened it. Tap on this icon and configure the access! Also, you can activate collaboration from the main screen. Long tap on the document of your choice and select the 'Collaborate' button from the context menu.
Which text formats does Collabio Spaces support?

The app works with DOCX, ODT, XLSX and ODS formats. So, except for commonly used DOC and TXT, you will be able to view documents in well-known XLS, CSV, PPT, PPTX, JPG, GIF and TIFF.
As for the import of your text documents, the app saves them in 4 formats: XODT, DOCX, ODT, PDF.

How can I format my text?

As in all common text processing apps, we allow designing your texts from all perspectives:
- Change paragraph styles, fonts and size.
- Make your text bold, italic, underlined or crossed out.
- Add subscripts or superscripts.
- Set character and line spacing.
- Choose font an highlight color.
- Align and justify text.
- Increase and decrease indents.
- Create bulleted and numbered lists.
- Insert headers and footers, page and section breaks, tables of content, footnotes, tables and images, hyperlinks.
- Add text and audio comments.

What features does Collabio Spaces offer except for common formatting?

There are plenty of convenient and useful features, such as:

How many fonts are there?

Collabio Spaces text editor has 11 main fonts at the moment.
What are audio-comments?

Audio comments as well as audio messages, have become very popular thanks to their convenience.
You can leave audio-commentaries to PDF files and save time on typing.
How can I modify cells and texts in them?

How can I modify cells and texts in them?
Everything is simple! When you are in the app and edit a spreadsheet, it offers 2 editing options at the bottom of the screen. You can switch between these and choose the tool you need.
Here is the list of what you can do with texts:
- Change fonts, size, color.
- Make it bold, italic, underlined or crossed out.
- Align, justify and wrap text in cells.
And main features for formatting cells:
- Add and delete rows and columns.
- Select background color.
- Align cells.

Spreadsheets
How many functions does Collabio Spaces support?

There are more than 140 functions in spreadsheets, most of which are widely spread among users.
Just enter the = symbol, start typing the first letter of the function you need and a window with suggestions will appear on screen.
What is the maximum size for my spreadsheet to keep the work smooth?

The maximum size of the file that would work smoothly depends on the device you are working from.
The more powerful hardware you've got in front of you, the bigger your spreadsheet can get without compromising the quality of work.
How do I annotate PDFs?

How can I modify cells and texts in them?
Select what you want to do with your PDF from the toolbar at the bottom of the screen. Tap the area you want to highlight or annotate. If you're leaving a comment, a small comment window will appear. Write your thoughts down and tap on 'Done'. The comment icon will appear inside your PDF document.

Can I leave both text and audio-comments?

So far audio comments work only in the text editor, not PDF. This feature is coming soon...
Can I highlight and underline the text?

Yes, you can! Select the relevant tools from the toolbar and drag and drop them when you're done with highlighting, underlining or crossing out the text.
Can I save my PDF in another format?

You can only save such documents in PDFs so far.
Is it possible to copy text from PDFs?

Yes, you can copy its text contents and insert in a text document, but you can't copy images.
What quality of Photos and Images will be recognised properly?

Our OCR (optical character recognition feature) is powerful, but for recognition to work characters should be clearly visible, text should not be blurred. Otherwise, the algorithms won't recognise it and the transfer to text will not be correct.
Scanning
How many images can I process at a time?

«ulk processing allows the handling of up to 10 pages at a time. We set this limit on purpose, as this is the optimal number for a mobile device. Otherwise, the process would be too long. In any case, we recommend scanning around 5-6 images at a time.
If I process 10 images and click on Undo, will all ten be undone?

Yes, this is correct. Still, if you scan pages one by one, then you can undo them one by one as well.
Does Collabio Spaces open recognised text in the document instantly?

Yes, the scanner will take you directly to the text editor where you'll find your text, ready to edit.
Do you offer digital or electronic signatures?

An electronic signature is a convenient tool to get an approval or a consent on digital documents or forms. This feature can replace handwritten signatures in numerous cases. Don't confuse an electronic and a digital signature, the latter is a cryptographically secured key for authorisation. Collabio Spaces enables the leaving of a signature in a text or PDF document. In other words, it is a digital representation of your normal handwritten signature.
E-signatures
Can I sign a spreadsheet or a presentation?

You can sign only text documents and PDFs. In future we might introduce this option in other formats, if there is a demand!
How can I sign a document in Collabio Spaces?

Open or import a text document you need to sign, find the 'Signature' icon in the 'Plus' menu and add your signature!
Just draw it with your finger.
In a PDF document, find this icon in the bottom menu and add your signature.

How do I get started?

After you obtain your subscription for Collabio Spaces in the App Store, open the app. You will see the document section on the left and the Space Management section on the right.
Here you can create new spaces and add (create or import) new documents. In the pre-installed Planning Space, you will find five planning templates. Open one of them to test how the app works!
Also, you can share access to any of your documents with another user of Collabio Spaces - there is a short how-to manual at the right side of the homescreen.

Do I need a separate subscription for macOS?

Collabio Spaces subscription is connected to your AppleID and can be used on both iOS and macOS devices.
The number of devices is not limited and the subscription is unified for all of them.

How do I start collaboration on my documents?

If you're going to start an editing session on your Mac or MacBook, launch the app. In any document you'll find the "Start collaboration" button. There you will see the password, which you can share with your teammates. All participants will get access to edit your document. If you forget the password, click on the icon of a lock in the lower right corner.
When you need to close the editing session, click on the button "Stop collaboration".

What are spaces?

Instead of boring folders, we introduce a new approach to handle documents within the app! You can switch from a text document to a spreadsheet to grab the necessary data within one space and get back to the text without losing focus and progress. Spaces manage document storage for you within the app.
When you create documents, they are stored within the app unless you export them. Organise your files in Spaces to separate work from personal, project from project, client from client and so on. Check out the functionality of our text and spreadsheet editors below!
Spaces
How do spaces differ from folders?

They seem similar to folders, but you can't see everything in one place when you work with folders, whilst spaces does allow this. For now they have somewhat limited functionality and they better satisfy the needs of individual users. In future, we are going to improve this tool for teamwork.
It will be possible to share spaces with colleagues, configure access and do all the work on projects exclusively within one space. This will increase productivity and consequently, improve the results of both the whole team and each of its members.
How many spaces can I add?

You can add as many spaces as you like for various purposes (for different projects, for personal use, and so on). To see documents from another space, you should switch to the one where they are stored.
What is the functionality of the Collabio Spaces text editor?

Troubleshooting
How do I extend my subscription?

For any amendments regarding your subscription, visit the App Store. If you have purchased Collabio Spaces there, you might have already read that Premium Access is an auto-renewable subscription which includes a free trial before paid access starts. The subscription automatically renews unless auto-renew is turned off at least 24-hours before the end of the current subscription period.
If you're using our app for the first time and have an active trial now, your account will be charged for the subscription within 24-hours prior to the end of the trial period.
Pricing and Subscriptions
How do I cancel my subscription?

Canceling a subscription is handled solely through the App Store.
Subscriptions are managed by the user and auto-renewal can be turned off by going to the user's Account Settings after purchase. After the free trial and the paid period ends, there will be no access to the app.
What if I have chosen the wrong plan?

The App Store support may help you with that. You can also ask them all your questions regarding payments for Collabio Spaces. We don't process any transactions on our side.
Should I pay for upcoming updates or will they appear in my app instantly?

No, all the updates will automatically appear in your Collabio Spaces app after installing the updates. You won't pay extra for them.
